πͺ VendorsKept by themselves
Every firm you buy from, with his GST number
Nobody types this list. Every vendor name and GST number that goes onto a purchase order or a rate comparison is written down here automatically, and offered back the next time somebody starts typing it. The GST number is the firm's real identity β two spellings under one GST are treated as the same vendor.
A vendor with orders against him cannot be deleted. A GST number that is not 15 characters is flagged in red β it is usually a typing slip on the order it came from.
π Rate ComparisonQuotations side by side
What each vendor quoted for the same material
The Purchase Manager puts two or more quotations against the same list of materials. The landed cost β rate, discount, freight and GST together β is worked out for each, the lowest is marked L1, and the sheet stays attached to the purchase order so you can see it before you approve.
Start one from an indent and the materials and quantities come across by themselves β go to Indents and press Compare Rates.
Every Purchase Order must be approved by an Admin before goods can be received against it.

One demand letter format per project. Write the wording once β after that your team picks a customer from the chase list and the letter fills itself in: name, unit, instalment, amount, days overdue, interest and bank details. They can still type over anything before printing or sending it on WhatsApp.

What each person must deliver this month
Open a card and set that person's month in one place β the numbers they must hit on the left, the work they must finish on the right. A project head gets a separate block for each site.
A directive is an instruction from the top for the month. Each department it is aimed at must answer it by setting at least one target against it.

π Month-End Tally
What was promised, and what was actually delivered β with dates
Every point you gave out and every number you set, against the day it was really finished. Green means delivered on or before the date; amber means late but done; red means still not done.
Each department has one head. The head sets and reviews targets for everyone in that department; the team members see only their own.

πΈ Site ExpensesPetty cash, project by project
What each site was given, and what it has spent
Cash in hand is never typed in β it is what the site was given, less what it has booked. Every rupee sits under a head, so you can see where site money actually goes.
π Indent β PO β Bill
One line per purchase, from the request to the bill
Every indent your site raised, the purchase order it became, and the bill that came back against it β side by side, so Accounts can tally a vendor bill without asking anybody.

π File ManagerOne place for every paper
Every drawing, approval, agreement and bill β kept against its project
Put a file here once and the whole team can find it, from any computer. Nothing sits on one person's laptop any more.
Choose the project and the folder first, then press Choose Files. Up to 3 MB per file β photographs are squeezed down automatically.
β¬οΈ Import From Excel
Upload the sheet you already keep
Your existing Excel file goes in as it is. The system reads your column headings, matches them itself, shows you exactly what will happen to every row, and only then brings it in. Nothing is typed twice.

2οΈβ£ Choose your file
Excel .xlsx and .csv both work, straight from your computer. Your file is read inside this page β it is never sent anywhere.
